# Emails Vintage sends

Vintage sends email at the few moments that warrant it: to confirm who you are, to bring a teammate in, and to tell you when an upload you walked away from needs you or has finished. Every one is listed here, so you know what to expect and can tell your mail administrator what to allow.

Email is a convenience, never the only way to know where things stand. Every upload's current stage is always shown on its row in Upload History and on the upload's progress rail.

## Account emails

These confirm your identity and manage access. Each says why you received it, and each one you did not ask for can be ignored safely.

| **Password reset** (subject: "Reset your Vintage Modeling password") | The address you enter on the **Forgot password?** page, if it has an account | When you request a reset | The link expires after one hour. The page you see afterwards is the same whether or not the address has an account, so it never reveals who is signed up. |
| **Confirm a change to your login email** (subject: "Confirm the change to your Vintage Modeling login email") | Your **current** login address | When you start changing your email in Settings › Profile | A 6-digit code. It says plainly that a change was requested; ignoring it leaves your email exactly as it is. |
| **Verification code for the new address** (subject: "Your Vintage Modeling verification code") | The **new** address | After you enter the code from your current address | A 6-digit code. It cannot be resent on its own; if it never arrives, start the change over. |
| **Invitation** (subject: "*Inviter's name* invited you to Vintage Modeling") | The person invited | When an admin invites someone, presses **Resend** on a pending invite, or invites the same address again | The **Accept invite** button opens sign-up with the name and email filled in. Re-inviting an address updates the existing invite and sends it again. A withdrawn invite can no longer be used to join. |

## Upload emails

Three emails follow an upload, and they go to **the person who started the upload** only. Each is sent at most once per upload.

| **Your upload is ready to review** | Every file in the upload has finished processing, and the upload is ready for Column Mapping. The **Review upload** button reopens the upload where you left off. | When the files finished processing with no data rows in them. That upload is announced as needing attention instead. |
| **Your upload needs attention** | A file could not be processed; the files finished processing but contain no data rows (an empty or headings-only export); or every file was read in but the review of them could not be finished. The email says which, and the button opens the upload. | Always sent when one of these happens. |
| **Your portfolio is updated** | A finalized upload has finished being folded into your portfolio, including the final step of measuring the ranges and values the Segment Builder uses, so the Portfolio and Modeling screens show the new data. | See below. |

### When "Your portfolio is updated" is not sent

- **The portfolio was already up to date when you finalized.** The confirmation on screen says so, and no email follows.
- **Several of your uploads finish together.** You get one email covering all of them, saying how many. Two uploads started by two different people still produce one email each.
- **Vintage reprocesses the portfolio for its own reasons**, for example after improving a calculation. Nobody asked for that, so nobody is emailed.
- **Your organization's first portfolio is still being set up by the Vintage team.** The email is held, because it would point to a Modeling screen that is not open yet. When the team finishes, the email below replaces it rather than arriving on top of it.

## First-portfolio setup

| **Your portfolio is verified and ready** | **Every member** of the organization, not only the person who uploaded | When the Vintage team finishes the setup and opens Modeling, Portfolio, and Fields. The button opens Modeling. Sent once; no member receives it twice. |

**What does not send email:** A Vintage teammate joining your organization to finish that first setup is not an invite, and you are not emailed about it; the teammate appears on your Team list as **Vintage support**. If the team hands an upload back to you with a note, the note appears above that upload's Column Mapping screen, and no email is sent. Withdrawing a pending invite, changing a member's role, and removing a member send no email either.
